Mail Management

Mail Management

The Mail Management section allows administrators to monitor and control system-generated emails. It is divided into two parts: Inbound email and Outbound email. Details on how to configure a mail server to be used by the system will be addressed in the paragraph Tenant.


Inbound email

The Inbound email tab lists all mails received by the system.
It provides transparency on which emails have entered TIM, their status, and any actions required.

Workflow

Displays the workflow linked to the inbound mail.

Process Instance

Shows the process instance the mail is associated with.

Subject

Displays the subject line of the inbound mail.

From

Shows the sender’s email address.

Status

Indicates the processing status (e.g., received, failed, blocked).

Action

Displays available actions for the inbound mail (e.g., retry, delete, block).

Received at

Timestamp of when the system received the mail.


Outbound email

The Outbound email tab lists all mails sent (or pending to be sent) from the system.
It provides a detailed overview of mail delivery, failures, and allows administrative actions.

Process Instance

Displays the process instance context in which the mail was generated.

To (Recipient)

Shows the email recipient.

Subject

Displays the subject line of the outbound mail.

Creation Time

Timestamp when the mail was created in the system.

Resends

Shows how many times the system attempted to resend the email.

Error message

Displays any error encountered if the mail failed to send.

Outbound Actions (Bulk)

Located in the three-dot menu, administrators can perform the following actions:

Send all unsent mails

Sends all mails currently marked as unsent.

Send all failed mails

Retries sending all mails that previously failed.

Delete all failed mails

Deletes all failed mails from the queue (cannot be restored).

Delete all blocked mails

Deletes all blocked mails from the queue (cannot be restored).

Delete all sent mails older than…

Opens a dialog to define the number of days. All sent mails older than this value are deleted permanently.

If Sharepoint Connector is active, attachments are not shown in outbound mails prior to sending.
