Switching and Format Documentation
Purpose: Under Art. 26 of Regulation (EU) 2023/2854 (Data Act), providers of data processing services must make publicly available information on their switching process as well as on the data categories, formats and standards they support. This document fulfils that transparency obligation for TIM Flow SaaS and will be updated whenever relevant changes occur.
1. Switching process overview
Notice: The customer informs TIM Solutions of its intention to switch, in writing by email to info@tim-solutions.de
Confirmation: TIM Solutions confirms receipt within 5 business days and outlines the concrete next steps.
Transitional period: Once the two-month notice period has elapsed, a transitional period of 30 calendar days begins, during which the service continues to run as normal.
Data export: The customer exports its data and TIM Solutions provides the exportable data as described in Section 2.
Data retrieval period: At least 30 further calendar days to retrieve any remaining data after the end of the transitional period.
Erasure: Once the retrieval period has ended, the data is fully deleted, unless a statutory retention obligation applies.
2. Supported data categories and formats
The table below lists the data categories provided as part of a switch, and the formats used for each. To be verified and completed by the Product/Engineering team.
Data Category | Format | Description | Export by |
|---|---|---|---|
Process definitions / workflow models | BPMN 2.0 (XML) | Process models created by the customer, exportable in the standard BPMN 2.0 format. | Customer |
Forms | JSON | Forms created by TIM Form Designer | Customer |
User and master data | CSV | Roles, organisational structure, user accounts | Customer |
Audit trail / log data | Excel / PDF | Traceable history of process instances | Customer |
Documents and attachments | Original format (e.g. PDF, DOCX) | Files uploaded by the customer, provided unchanged in their original format. | Customer |
Process instance data | SQL export | Running and completed instances, including form data and status information. | TIM Solutions |
3. Open interfaces
Many bulk exports exist as well as a REST API accessible on every TIM Flow installation
Excel export of nearly every list
Bulk export of instance reports and attached documents
BPMN 2.0 Export of Workflows
JSON Export of Form Designer Forms
4. Data excluded from transfer
The following data categories are excluded from disclosure, as they relate to the internal functioning of the service and constitute a trade secret of TIM Solutions. These exclusions do not impede or delay the switching process:
internal system configurations
non-customer-specific automation logic
internal performance/scaling parameters
5. Timelines at a glance
Maximum notice period to initiate a switch: 2 months
Standard transitional period: 30 calendar days (extendable up to 7 months where technically infeasible)
Data retrieval period after the transitional period: at least 30 calendar days
Fees for switching/export: currently none
