  1. Within a task, the user only sees the process-accompanying form and can upload documents.

  2. They do not have their own task list.

  3. The user cannot be assigned to a group, i.e. can only be addressed directly.

  4. The user is authenticated with their own password (SSO possible).

  5. The user is automatically deactivated after completing the last task within a certain period of time (3-30 days) and receives a new password after reactivation. The pool of users is therefore dynamic.

  6. The user can only start processes via web form or e-mail, as they do not have full access to TIM.

With Temporary Task Users, external process participants can be included in workflows.

License

To use the Temporary Task Users a license is required that supports this new user type. Like for Standard Users, Temporary Task Users require available slots in the license.

The manual creation of Temporary Task Users is similar to the creation of Standard Users, but fewer options are available.

Additionally, it is possible to change the type of an existing user, this works in both directions.

Note

Keep in mind that Temporary Task Users do not have group memberships! Changing Standard Users to Temporary Task Users will result in the loss of their group memberships!

In the user details, we show the expiration time of the Temporary Task User. The expiration time is set to 3 days by default starting when the user completes their last assigned open task.
